Managing and Accessing Your Class Roster

Message from your peer facilitator:
Print a copy of the roster and bring it with you on the first day of the semester to take attendance. You can use the paper to write some mnemonic notes based on what your students share on that first day, which will help you remember their names. Also, remember that you can ask your students to record their names with NameCoach in SOLAR.

4.6 MANAGING AND ACCESSING YOUR CLASS ROSTER

Class Administration

MY CSUN Portal (or SOLAR) is the name for the portal containing administrative applications related to student enrollment, finance, and human resource services at CSUN. Information and tutorials for faculty about MY CSUN Portal can be found here

The Faculty Center in MY CSUN Portal is where you:

  • Access your class rosters.
  • Give out permission numbers for those who want to add the class. You will use MY CSUN Portal to first “generate” permission numbers. Once you get the numbers, you can distribute them to students so they can add your classes.
  • Post student’s final grades.

For detailed instructions on how to access your class roster, how to email students and how to change grades online, check out the CSUN Portal support page made by IT.

Accessing Your Roster

Faculty can view their class rosters one week before registration begins.

To view your class roster, log into CSUN Employee Portal. Select Student Administration, and then click Faculty Center.

This video will guide you through how to perform some basic tasks in MY CSUN Portal, such as accessing your roster and class and exam schedules.

Student Emails

In the Class Roster, you can email students individually by selecting the individual box next to each student you wish to email.

To send an email to the whole class, select All, then MY CSUN Portal will automatically check all boxes and email everyone in the roster.

Waitlist

The waitlist feature in the self-service registration system allows students to secure a position on a waiting list for closed classes in the fall and spring semesters. Waitlisted students will automatically be enrolled when a seat becomes available through the end of the first week of the semester.

Check out the video below to find out how to access a waitlist for your class.

Permission numbers are required to add all classes as soon as the waitlisting period has ended (typically at the end of Week 1 of the semester). At that point you will be in control of who can be added to your course. If are willing to add more students, you will need to generate (in MY CSUN Portal) and distribute these permission numbers.  Before you do this, ask your department about the local culture and policies regarding adding students.

Keep in mind students can freely add and drop your class until the 3rd week of classes. With the chair’s approval (and an acceptable and highly unique reason), some students may be added/dropped in the 5th week.

Submitting Grades

You don't have to worry about this until the end of the semester. In fact, you don't even have access to the "grade roster" until about a week before finals.

When you're ready, read the Faculty Center Reference Guide for information on how to record grades.

Sometimes students withdraw from classes. Depending on when they withdraw, and whether they file the appropriate paperwork, you may deal with this during final grade submissions.  Read about Policies and Procedures for withdrawal to understand what is required to follow the university’s official withdrawal procedures.

✔️ To Do:

📌 Ensure you can access your class rosters

📌 Check with your department regarding policies and culture of adding students

You're ready to go with your roster, so now it is time to prepare to meet the accommodations of your students.
